All registration fees including flights and accommodation MUST be paid within 48 hours of invoicing (unless an earlier time is dictated by the Airlines) to confirm your placement. Failure to make the payment in the allocated time will result in your registration being 'waitlisted' and at risk of not attending Iceworks 26.

PRE & POST ACCOMMODATION AT THE BELLAGIO RESORT LAS VEGAS 

We have secured a limited block of rooms for Iceworks delegates. Please note that if you book independently, there will be no continuity of stay in the same room for the duration of the event. To ensure a seamless stay without the need to check out and back in, please book your additional nights through BX Agency.

Return group flights to Las Vegas have been booked with our airlines partners from eligible ports within Australia. Our travel team will coordinate all groups flights out of the ports below. If your departure is from a port that is not listed below you will be prompted to list the departure location and an travel consultant will be in contact with you.

PRE & POST FLIGHT SELECTION 

All pre & post flights to iceworks 26 MUST be booked via our travel team at Webjet Business Travel team on iceworks@webjetbusiness.com to receive the allocated flight credit from New Sunrise. All flight credits will be reimbursed AFTER confirmation of attendance to ALL dedicated events at Iceworks 26.

Prior to registering, please ensure you have the following confirmed:

• Date ranges for your travel.
• Confirmation of alternate destinations as part of your Pre & Post (Eg. other visiting US Cities).
• Any frequent flyer program you 'must' fly on. 
• Notify the flight class you prefer to fly on. 
• All passengers in your travel party Including Full Names, Date of Birth, Valid Passport, Valid ESTA.
• Any dietary, or seat requirements.    

To ensure fairness in response times to delegates, all delegates will be allowed TWO quotes to finalise their booking requirements. Should you require more than 2 quotes due to requoting or change in flight class, multiple dates or port changes, a fee of $100 will be charged for each additional quote.

To continue your registration, all delegates traveling to iceworks 26 in Las Vegas under the Visa Waiver Program must upload a copy of their valid Electronic System for Travel Authorization (ESTA).

Need an ESTA? If you do not have a current authorization, please apply through the official U.S. Customs and Border Protection website: esta.cbp.dhs.gov.

All Return flights (including taxes) to Las Vegas are booked via our travel partners at Locomote. All group flights have been booked from your nearest capital city departing Australia on Monday 27th July 2026 with arrivals into Las Vegas on the same date. Return flights will departing Las Vegas on Friday 31st July 2026 and return to Australia on Sunday 2nd August 2026.

Return flights (including taxes) to Las Vegas have been booked with Emirates from your nearest capital city. Please select your desired flight from the nearest capital city port from the list below to proceed with the Registration. 

If you do not reside in a Capital City and require a domestic connection, this is at your own cost and will be invoiced to you separately. Please select the "ALTERNATE FLIGHT PORT REQUIRED" button and specify your home port in the text box below it.

New Sunrise contracts various suppliers, such as hotels, airlines & restaurants, to secure availability for our guests taking part in the Iceworks program each year.  Suppliers impose strict terms & conditions within these contracts that will only allow for a reduction or cancellation of our contract up to a certain period prior to the event date.

We understand that sometimes cancellations occur, however due to contractual obligations with our third-party suppliers in Las Vegas and airlines, any cancellations are subject to strict terms and conditions, therefore cancellation fees & penalties will apply.

Note: If you are booking outside the group dates, 100% cancellation fees may apply on your airfare.

Cancellation Fees on all delegates including Accompanying Guests and/or Children

Cancellation prior to 27 February 2026 – 75% of your registration fee will apply
Cancellation after the 27 February 2026 – 100% of the registration fee will apply.

All cancellations must be given in writing via email to BX Agency Pty Ltd. Cancellations cannot be offset with conference credits and any applicable charges will be debited from your trading account.

Visa and Passport
All travellers must carry a machine-readable passport valid for at least six months beyond the date of departure. Travel advice is available from the Australian Government at www.smartraveller.gov.au.

If you are non-Australian passport holder, you will need to check your Visa Requirements online at the US Customs & Border Protection. Managing Visa requirements are the sole responsibility of the individual traveller and a valid visa must be obtained before travelling to Las Vegas .

Do Australian passport holders need a visa for Las Vegas?

As of January 2026, travel requirements for Australians entering the USA have seen some significant updates, particularly regarding digital security and biometric data.

While Australia remains a member of the Visa Waiver Program (VWP), the process for obtaining authorization has become more detailed.

1. The ESTA (Electronic System for Travel Authorization)

Most Australian citizens traveling for tourism or business for 90 days or less do not need a traditional visa but must have an approved ESTA.

• Mobile-First Process: U.S. Customs and Border Protection (CBP) has transitioned toward using the official ESTA mobile app as the primary way to apply.
• Social Media Disclosure: You are now required to provide five years of social media history (handles/profiles) as part of the vetting process.
• Detailed Contact Data: New requirements include providing 10 years of email history, 5 years of phone numbers, and certain family member details.
• Fees: The ESTA fee is $41 USD.
• Validity: Generally valid for two years or until your passport expires, whichever comes first.

2. New Biometric Requirements (Effective Late 2025/2026)

The U.S. has implemented stricter biometric entry/exit rules:

• Facial Recognition: Non-citizens are now subject to mandatory facial biometric data collection (a "live selfie" matched against your e-passport) upon entry and exit at all major ports.
• Data Retention: Be aware that the U.S. government now retains this biometric data for up to 75 years for security and identity verification.

3. Passport & Ticket Requirements

• E-Passport: You must hold a valid Australian biometric passport (the one with the small chip symbol on the front).
• 6-Month Rule: Your passport should ideally be valid for at least six months beyond your intended stay.
• Onward/Return Ticket: You must be able to show proof of a return flight or a ticket to another country outside of North America.

Upon registration, BX Agency will be invoicing you the registration fee for all registered guests. If registration fees are not paid in full within 48 hours of invoice, please note that your registration will be cancelled & you will need to complete a new registration if spots are available at the end of the registration period.
